The Challenge
As a Customer Success Specialist at a comparison and booking platform for airport parking operating across Germany, Italy, the Netherlands, France, Spain, and other markets, our interviewee works across multiple teams to keep customer-facing operations running smoothly. This includes reviewing customer requests and
managing GDPR data.
Before adopting GDPR Compliance, the company had no formal procedure for this work. Data minimization requests were handled manually and split across different teams, making the process slow to run and hard to keep consistent.
What was the biggest challenge you were facing before using GDPR Compliance for Zendesk?
Before, we didn't really have a procedure within the team. We started using the app since this was something we needed. But the main challenge was setting up an entire procedure to minimize our customers' data, find it, and make the overall process smooth and easy to manage. Before that, we handled it a bit in between other teams, so it wasn't nearly as efficient as it is now.
What made you choose GDPR Compliance over other options?
It was a while ago, so I don't remember every detail, but I remember it being very intuitive and easy to use. What we really appreciate, and still do, is the fast support from the team.
How has the app helped improve your efficiency?
A few things made the difference. First, the way we could select which data to keep on our system. That mattered a lot to us. Second, the possibility to automate the process: instead of managing everything manually, we can create rules and automations and let them run on a schedule.
Was there anything that surprised you about the product or team, in a positive way?
The customer support, honestly. It's been consistently fast and helpful.
Was there anything difficult, or that you found missing, when using the app?
I had some questions at the beginning, but nothing that ever blocked a procedure. Nothing comes to mind that's an issue right now.
Are there any features or improvements you'd like to see added?
One thing that comes to mind: we also use the attachment redaction feature, separate from GDPR data itself, to manage Zendesk storage. When deleting attachments, it isn't obvious in that flow how much of our storage allowance we have left. That information does exist it's on the Subscription settings page. But it would be more useful shown directly at the point of deletion, or on the main dashboard.
Would you recommend GDPR Compliance to other companies?
Yes. I find it very intuitive, easy to use, and helpful in the process. What's more, I always receive fast help from the team. I really appreciate that.
Solution & Result
Solution: The company uses GDPR Compliance for Zendesk to replace manual, cross-team data-minimization work with scheduled rules and automations, giving the team fine-grained control over exactly which customer data is retained. The team also uses the app's attachment redaction feature to manage Zendesk storage as ticket volume grows.
Result: Company's GDPR data handling now runs on an automated schedule instead of a manual, ad hoc process, with no blocking issues reported since onboarding. The team continues to work directly with the support team on refinements, such as surfacing remaining storage allowance more prominently in the app.
FAQs
It gives support teams a structured way to find, minimize, and manage customer data inside Zendesk, replacing manual, cross-team lookups with a repeatable, rule-based process.
Teams set up rules that define what data to find and how to handle it, then schedule those rules to run automatically. So requests are processed on a recurring basis instead of being handled one by one by hand.
Yes. Its attachment redaction feature lets teams delete attachments from tickets to free up space, with available storage allowance visible on the Subscription settings page.
Yes. It's designed to help teams build a procedure from scratch, selecting what data to retain, setting up automations, and applying them consistently going forward, rather than requiring a process to already exist.
